Your Opportunity

As Head of Operations, it is your responsibility to ensure efficient management of the office and to keep and further develop smooth processes in daily business. Additionally, you support all lawyers in all administrative and organisational matters.

You are the first contact person for suppliers, clients, and colleagues. Your tasks include, among others, the administration of emails and calls, organising and placing orders of various kinds, preparing and handling client meetings including the reception of national and international guests as well as travel planning and organisation.

You will also be responsible for personnel issues like, for example, creating vacation requests, the administration and organisation of entries and exits of colleagues and the upkeeping and development of best practice topics.

In addition, you will be responsible for the organisation of incoming invoices and the entire process of preparing and issuing invoices to our clients, including the management of payment requests.

Furthermore, you will assist all lawyers in the preparation and revision of documents, presentations and other (digital) content and generally support them in their daily business.


Your Background

We have a clear preference for applicants with a university degree (Mag., MA or MSc, BA or BSc). It also helps if you have experience as personal assistant, office manager or in a comparable position of 2 years or more.

You have very good organisational skills and are exceptionally good at communicating professionally – both in German and English.

You have excellent technical skills in working with Microsoft Office (especially Word, Excel and PowerPoint). Experience in working with Office 365 (SharePoint and OneDrive) is an advantage.

You feel absolutely comfortable taking on responsibility, possess a high degree of independence and always show initiative. Additionally, you understand how to prioritise tasks independently and solve problems competently.

You consistently work extremely accurately and conscientiously and have an eye for detail.

As part of our deal team, you will develop solutions to complex legal issues. In addition, you will work on the implementation of these solutions, in particular by preparing relevant legal documentation and managing transactions in a multitude of European and overseas jurisdictions.

You will, for instance, contribute to the implementation of corporate acquisitions and infrastructure projects, to the solution of distressed situations of companies or to the development of innovative solutions in areas where an established market practice has not yet developed.


Your Background

  • – You have an excellent academic background.
  • – You have gained a minimum of 2 years of professional experience with an internationally active law firm.
  • – You bring along a certain degree of international (personal, academic or work) experience.
  • – You are proficient in both German and English.
  • – Candidates with a doctorate’s degree and/or common law LL.M. preferred.


Formal Requirements

  • – You are (or are eligible to be) registered as Rechtsanwaltsanwärter with the Vienna Bar Association (Rechtsanwaltskammer Wien).

  • – Candidates with a doctorate’s degree and/or common law LL.M. preferred.

It is great if you have already gained professional experience in the above-mentioned areas, but this is not a prerequisite – we will provide for your training to the highest standards.
